How Xylogic Pty Ltd collects, uses, and protects personal information, in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

Scope

This policy applies to personal information collected through the Xylogic website and any associated subdomains. It sits alongside our Terms and Conditions, which govern your use of the Website generally.

Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether or not it is true and whether or not it is recorded in a material form.

What we collect

We only collect personal information that you choose to give us. There is no account system on this Website, and none of the forms are mandatory to browse the site.

Through the contact form, you may provide: your name, company, email address, phone number and dialling code, the type of enquiry, your organisation type, your application area, and the content of your message. Every one of these fields is optional, though we ask for at least three so that an enquiry is actionable.

Through the newsletter form, you may provide: your email address, and optionally your name and the topic you are most interested in.

Technical information

Needs confirmation before launch. Confirm before launch whether analytics, cookies, or server request logging are in use, and name any provider. If none are used, this section should say so plainly.

Our web host may record standard technical information such as IP address, browser type, and pages requested, as an ordinary part of serving the Website.

How we use it

We do not sell personal information. We do not use it for automated decision-making or profiling.

  • To respond to your enquiry and to correspond with you about it.
  • To send the newsletter, where you have expressly opted in.
  • To understand what our audience is interested in, so we can improve the Website and what we publish.
  • To meet our legal and record-keeping obligations.

Who we share it with

Needs confirmation before launch. Name the actual service providers before launch: web host, form or email delivery service, newsletter platform, and any CRM. The Australian Privacy Principles require that recipients be identified with reasonable specificity.

We may disclose personal information to service providers who help us operate the Website and communicate with you, and where required or authorised by law. We require those providers to handle personal information consistently with this policy.

Overseas disclosure

Needs confirmation before launch. Confirm where data is actually stored and list the countries. Many hosting and newsletter platforms store data outside Australia, which APP 8 requires be disclosed.

Some of our service providers may store or process information outside Australia. Where that is the case, we take reasonable steps to ensure the recipient handles your information in a manner consistent with the Australian Privacy Principles.

Storage and security

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure. No transmission over the internet can be guaranteed completely secure, and we cannot warrant the security of information you send us.

How long we keep it

We keep personal information only for as long as it is needed for the purpose it was collected, or for as long as the law requires. When it is no longer needed, we take reasonable steps to destroy it or de-identify it.

Access and correction

You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Requests can be made through our Contact page. We will respond within a reasonable period, and if we refuse a request we will tell you why in writing.

Complaints

If you believe we have mishandled your personal information, please raise it with us first through the Contact page so we can try to resolve it.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.

We may update this policy from time to time. The date of the most recent revision is shown at the top of this page.
